A well established and growing South Orange County community association management company is looking to add an experienced  Accounts Payable Manager to their team.

This is a full-time, Direct Hire position that is 100% on-site with no remote option. The schedule is Monday through Thursday, 8:30am to 5:30pm, and 8:30am to 5pm on Friday. The starting pay is $28-34/hr or $58K - $70K based on experience, in addition to a benefits package which includes: Dental, Medical, Retirement, Vision etc..

 

The Accounts Payable manager is responsible for ensuring efficient and accurate management of financial transactions related to vendor payments and delinquency. The individual in this role will perform a range of tasks essential to maintaining the financial integrity of the communities managed by our company.

Responsibilities include:

Financial Oversight

• Review monthly financial statements to prevent overdrafts and ensure compliance with federal insurance limits in bank accounts.
• Orders and prepares signature cards for the Board to complete.
• Issue stops payments as directed by the Community Manager.
• Report any irregularities or discrepancies in financial statements to the manager for further investigation and resolution.

AP Management

• Create and maintain a monthly account calendar for payables.
• Receive, organize, and process all vendor invoices for each month's payables accurately and promptly.
• Prepare payables for approval by the Board of Directors in accordance with the specific approval methods established for each community.
• Issue approved checks and ensure timely mailing of payments.
• Assist President with deposit(s) by tracking deposits of monthly checks.
• Verify accuracy of Company billing invoices and ensure all additional charges are properly billed.

Document Management

• Organize and bind copies of monthly payables, track and log mailing dates and held checks, and then file them appropriately in respective files for easy access and reference.
• Maintain organized physical and electronic files for all accounts payable.

Communication and Coordination

• Liaise with banking institutions regarding reissued or voided checks, as well as any other inquiries relevant to accounts payable processes.
• Obtain updated signature cards and stop payment requests from the bank as requested by management in a timely manner.
• Assist in setting up electronic signature accounts, ensuring necessary board approvals are obtained.

Delinquency Management

• Review outstanding accounts on a monthly basis and initiate pre-lien letters for delinquent accounts in accordance with the collection policy for each community on the 17th of each month and complete no later than the end of the working month.
• Ensure timely delivery of pre-lien letters via US & certified mail, adhering to prescribed deadlines.
• Maintain delinquency books and co-coordinate liens and foreclosures as directed by the Manager.
