Job Description
We are seeking a reliable, resourceful, and proactive individual to provide support in both personal and professional capacities. This unique role combines administrative assistance, rental property management, and personal assistant tasks.
The Ideal Candidate:
Has an interest in or experience with real estate and/or home building.
Is adaptable and willing to tackle a variety of tasks, rolling up their sleeves when needed.
Is punctual, efficient, and able to handle multiple tasks and changing priorities.
Lives locally in the South Bay or is within a reasonable distance, as most tasks are in the area and may require flexibility on short notice.
Position Details:
Schedule: Monday to Friday, 8:30 AM - 4:30 PM (30 hours per week), with occasional after-hours and weekend responsibilities for tenant emergencies or rental showings. Some remote work may be possible after the initial training period.
Property Management Responsibilities (40% of workload):
Serve as the primary point of contact for tenants, handling maintenance requests, property showings, and lease management.
Keep track of expenses using Google Sheets and QuickBooks, maintain tenant files, and coordinate with contractors for maintenance and repairs.
Advertise and schedule property showings, manage tenant communication, and oversee building management duties.
Handle after-hours emergencies as they arise.
Construction Company Administrative Support (50% of workload):
Assist with client and subcontractor communication, including emails and phone calls.
Organize client project files in Google Drive, manage project schedules, and compile specifications.
Help manage project accounting, including creating invoices, tracking expenses, and ordering materials.
Track labor hours and receipts for in-house workers.
Perform accounting and data entry tasks as needed.
Personal Assistant Responsibilities (10% of workload):
Assist with personal tasks, including grocery shopping, running errands, placing online orders, coordinating with service providers, and picking up mail.
Comfortably interact with pets (large dogs and cats).
Provide occasional after-hours assistance (e.g., checking on pets when the owner is out of town).
Required Skills & Software Proficiency:
Strong proficiency in Google Sheets and QuickBooks Online.
Exceptional organizational skills for managing both digital and physical spaces.
Must have reliable transportation, as this role requires daily driving, sometimes including longer trips.
Professional demeanor and ability to meet with clients and contractors in person.
Strong formal writing skills for professional correspondence and technical documents.
Ability to maintain confidentiality and handle sensitive business and personal information.
Comfort with Apple devices (MacBook, etc.).
Creativity and experience with design software (Adobe, AutoCAD, Canva) is a plus.
Excellent attention to detail.
Bonus Skills:
Experience with architectural plan reading, drafting, or design (AutoCAD).
Compensation & Benefits:
Salary: Competitive with a total first-year earning potential of $55,000 (including two annual bonuses in June and December).
