Job Description
Executive Assistant Washington DC Public Trust 100% on-site Position Overview: Nationwide IT Services (NIS) is seeking an experienced, professional Executive Assistant with a strong ability to manage the “day-to-day” of the high-level executives in a critical office of the Federal government.
Duties and Responsibilities: - Appointments, calendars, schedules, and customer service
- Receive and screen all visitors and calls, take messages, and monitor returned calls (serve as gatekeeper)
- Return calls when necessary or appropriate.
- Refer administrative problems/situations to the appropriate individual.
- Mail, correspondence, and reports.
- Prepare briefing materials and briefs in advance of meetings, including requesting material from Senior Staff promptly.
- Prepare meeting agendas, schedule rooms, and notify participants by scheduling procedures and changes.
- Set up virtual meetings and take attendance, as requested.
- Internal and external contact work
- Meeting preparation and assistance
- Travel coordination.
- Makes and closes out all travel arrangements for Senior Staff upon request (including transportation and all logistics) through the agency’s travel management process and other sources as necessary.
- Assist other related Divisions and groups with travel arrangements if necessary.
- Research travel requirements and work with the host site to communicate necessary preparations to the site staff.
Job Qualifications: - Bachelor's degree or higher preferred.
- Have advanced computer (proficient in the use of Microsoft suite products) and internet research skills.
- Demonstrate excellent oral and written communication skills.
- Be able to handle a wide variety of situations and conflicts involving the clerical and administrative functions of the office.
- Be responsible for confidential and time-sensitive material.
- Prepare daily briefing materials for leadership.
- Rely on experience and judgment to plan/accomplish goals and anticipate/adapt to leadership needs.
- Can multitask (supporting multiple personnel and/or projects), meet quick turnaround deadlines, maintain professionalism in high-pressure environments, etc.
- Have prior experience in a federal agency.
- Have significant prior experience working as an EA for a high-level executive minimum of eight (8) years of related work experience.
