School Secretary for Rowanty Technical Center Location Prince George, VA :
JOB TITLE: School Secretary LOCATION: Rowanty Technical Center IMMEDIATE SUPERVISOR: Rowanty Technical Center Principal SALARY: Dependent on previous business/school work, related experience TERMS OF EMPLOYMENT: 11 Months START DATE: As soon as possible GENERAL DEFINITION OF WORK To assist the Rowanty Technical Center principal in necessary tasks that fulfill the educational philosophy of the school division and ensure the smooth and efficient operation of Rowanty Technical Center's office. ESSENTIAL FUNCTIONS The minimum performance expectations include, but are not limited to, the following actions: Minimum Qualifications - Any combination of education and experience equivalent to graduation from high school and considerable experience in progressively responsible clerical work
- Thorough knowledge of standard office practices and procedures, equipment, and secretarial techniques
- Ability to interpret and apply policies and procedures.
- Ability to establish and maintain effectively working relationships with others.
- Ability to meet the public effectively.
- Such alternatives to the above qualifications as the Board may find appropriate and acceptable.
Performance Responsibilities - Perform usual office routines.
- Take notes and create documents of various types, including correspondence, reports, notices, recommendations, handbooks, and grant applications.
- Establish and maintain positive working relationships with others.
- Maintain such student records.
- Receive and route all incoming calls.
- Assist teachers in preparing instructional materials as requested.
- Serve as attendance officer.
- Process all grades and changes to all high schools.
- Process any documentation required for school attendance.
- Maintain a log of visitors to the school.
- Operate computer, calculator, copier, and facsimile machine.
- Keep a calendar of all events and activities.
- Receive and record monies received by the school.
- Keep all financial documents, including receipt logs, for the annual audit to be submitted at that time to the bookkeeper.
- Work collaboratively with office personnel to complete assigned projects.
- Serve as Deputy Board Clerk, as needed.
- Maintain confidentiality of student and staff related matters. • Perform other duties as assigned.
KNOWLEDGE, SKILLS, AND ABILITIES Candidate must have: - Knowledge of major educational business office support secretarial functions, modern office terminology, procedures and equipment
- Ability to handle general office responsibilities independently
- Ability to interpret and apply policies and procedures
- Ability to communicate effectively, both orally and in writing
- Ability to interact with top level officials and all staff with tact, courtesy and diplomacy
- Ability to work well under pressure with deadlines and interruptions
- Skill in using basic office software, to include the Microsoft Office suite
EDUCATION AND EXPERIENCE Candidate should have prior experience in providing clerical and basic bookkeeping services. Must be able to perform basic mathematical functions consistent with standard accounting practices. Candidate should also have prior experience in an office setting, to include basic secretarial duties. Prior experience with personnel management and student information software is preferred. PHYSICAL CONDITIONS AND NATURE OF WORK CONTACTS: Most tasks are performed in a sedentary work environment, including everyday activities such as sitting, walking, standing, bending, reaching, and carrying light items. Tasks also involve operation of equipment such as computers, copiers, and presentation equipment. EVALUATION Performance will be evaluated on the ability and effectiveness in carrying out the above responsibilities.
